How to configure shift schedules, shift sessions, and staff rosters for rotating shift operations in WorkClock HQ.
Shift
Use Shift for teams that work rotating or variable shifts. Shift setup has three stages:
- Shift Schedule: define the actual shift times.
- Shift Sessions: define repeating weekly patterns using those shift schedules.
- Shift Roster: assign shift staff to the session patterns.
Open it from Company Settings > Shift, or go to /company-settings/shift.
The Shift area only appears when your organization has a shift-based employment type and your user has shift permissions.
Stage 1: Shift Schedule
A shift schedule is a named time block, such as Morning Shift, Evening Shift, or Night Shift.
The table shows:
- Shift name.
- Clock-in time.
- Clock-out time.
- Edit and delete actions.
How To Create A Shift Schedule
- Open Company Settings > Shift.
- Stay on Shift Schedule.
- Click Add Shift Schedule.
- Enter Shift Name.
- Select Clock In Time.
- Select Clock Out Time.
- Select the Work Days this shift can be used on.
- Click Create, or Create and Add Another.
The shift schedule is created for shift staff by default.
How To Edit A Shift Schedule
- Open Shift Schedule.
- Click the edit icon beside the shift.
- Update the name, time, or work days.
- Click Update.
How To Delete A Shift Schedule
- Open Shift Schedule.
- Click the delete icon beside the shift.
- Type the required confirmation text:
DELETE Shift Name. - Click Delete.
Deleting a shift schedule can affect employees assigned to that schedule until you assign another valid shift.
Stage 2: Shift Sessions
A shift session is a repeating weekly pattern. For example:
- Session 1: Morning on Monday to Friday, off Saturday and Sunday.
- Session 2: Night on Monday to Thursday, off Friday to Sunday.
- Session 3: Mixed shifts across the week.
The Shift Sessions tab is disabled until at least one shift schedule exists.
How To Create Shift Sessions
- Open Company Settings > Shift.
- Create at least one shift schedule first.
- Open Shift Sessions.
- When prompted, enter the number of sessions you want to start with.
- Click Continue.
- For each session card, rename the session if needed.
- For each day of the week, choose a shift schedule or Off Day.
- Save each session, or use Save All Session Patterns when creating unsaved session patterns together.
How To Add Another Session
- Open Shift Sessions.
- Click Add Session.
- Configure each day.
- Save the session.
How To Set The Session Count
- Open Shift Sessions.
- Click Set Count.
- Enter the number of session patterns.
- Click Continue.
The minimum count may be based on how many sessions already exist.
How To Edit A Session
- Open Shift Sessions.
- Find the session card.
- Change the session name or day-by-day shift selections.
- Click Update Session.
How To Delete A Session
- Open Shift Sessions.
- Click the delete icon on the session card.
- Confirm the deletion.
Deleting a saved session can affect roster assignments that depend on that session pattern.
Stage 3: Shift Roster
The shift roster assigns staff to session patterns. This tells the system which weekly pattern a shift employee follows.
The Shift Roster tab is disabled until shift sessions exist.
The roster list shows:
- Staff member.
- Contact and department.
- Pattern rotation.
- Edit and delete actions.
How To Add A Staff Roster
- Open Company Settings > Shift.
- Open Shift Roster.
- Click Add Staff Roster.
- Select a staff member.
- For each week in the rotation, choose the session pattern the staff member should follow.
- Review the daily preview for each selected pattern.
- Click Finalize Roster.
Use Create & Add Another when assigning rosters for multiple staff members.
How To Edit A Staff Roster
- Open Shift Roster.
- Find the staff member.
- Click the edit icon.
- Change the week-by-week pattern assignments.
- Click Finalize Roster.
How To Delete A Staff Roster
- Open Shift Roster.
- Find the staff member.
- Click the delete icon.
- Confirm the deletion.
Rotation Logic
The roster cycles through the selected weekly patterns. After the employee completes the last week in the rotation, the pattern returns to Week 1.
Example:

FAQs
Why is Shift not visible in Company Settings?
Your organization may not have a shift-based employment type selected, or your user may not have shift view permission.
Why are Shift Sessions disabled?
You must create at least one shift schedule before defining session patterns.
Why is Shift Roster disabled?
You must create at least one shift session before assigning staff to rosters.
Why does a shift disappear from a day selector?
A shift schedule only appears for days included in that schedule's work days.
Can one staff member have more than one active roster?
The interface prevents assigning the same staff member again while they already have an active roster, unless you are editing that assignment.
